How to Use Milestones

Milestones are dated checkpoints inside a project. Group related tasks under a milestone and Taskip tracks its progress automatically as those tasks move through your workflow, so you always know how close a deliverable is to done.

What Is a Milestone?

A milestone is a named, optional-due-date checkpoint — for example "Design sign-off" or "Beta launch." Tasks can be assigned to a milestone, and the milestone's progress is derived from those tasks' stages: it isn't something you update by hand.

  • Progress is shown as tasks done out of total. Tasks sitting in Backlog are shown separately and don't count toward the total.
  • Status moves through a lifecycle automatically in most cases:
    • Planned — the default when a milestone is created.
    • Active — once you start it explicitly, or once the first assigned task moves past To Do.
    • Completed — once you mark it complete.
    • Missed — set automatically overnight if the due date has passed and the milestone is still open.
    • Reopen — brings a Completed or Missed milestone back to Active.
  1. Go to the Main Menu and select Projects.
  2. Open the project you want to work in.
  3. Click the Milestones tab.

Creating a Milestone

  1. Click New milestone.
  2. Fill in:
    • Title — required.
    • Description — optional details.
    • Due date — optional.
    • Visible to clients — turn on if this milestone should appear on the client's own Overview and Milestones tab.
  3. Click Create milestone.

Managing Milestones

  • Reorder milestones by dragging them, or with the ↑ / ↓ controls on smaller screens.
  • Edit a milestone from its menu to change its title, description, due date, or client visibility.
  • Complete milestone marks it done; Reopen brings a completed or missed milestone back to Active.
  • Delete a milestone removes the checkpoint only — its tasks are kept, just no longer linked to it.

Assigning Tasks to a Milestone

  • From a task's detail view, use the Milestone field to assign or clear it.
  • From the board, select multiple tasks and use Set milestone to assign them in bulk.

Finding Milestone Work on the Board

  • Use the Milestone filter to show only tasks in a milestone, or choose No milestone to find unassigned work.
  • Group by Milestone lays the board out with one column per milestone, plus a No milestone column for everything else.
  • Tasks show a milestone chip so you can see at a glance which checkpoint they belong to.

Where Milestones Show Up Elsewhere

  • The project header shows a Next: chip for the soonest upcoming milestone, its due date, and its current progress (for example, "Next: Design sign-off · in 6 days · 25%").
  • The project Overview tab shows a card with the next few upcoming milestones and their status.
  • If a milestone is Visible to clients, clients see it — read-only, with no edit or complete actions — on their own Overview and Milestones tab. Milestones left off are internal-only and never appear to clients.

Automating on Milestones

In Workflow Automation, you can build workflows that:

  • Trigger when a milestone is reached (for example, to send a notification).
  • Create a milestone automatically as an action when a task is created.
