How to Automate a Workflow for “New Message Received” in Taskip

Use this workflow to automatically take action whenever a brand new message comes into your inbox whether from a lead, a client, or any contact.

Step 1: Open the Workflow Setup

  1. Click Workflow from the left-hand menu.
  2. Press the + Create Workflow button in the top-right corner.

Step 2: Name and Choose Trigger

  1. Give your workflow a clear name like “First-Time Contact Handler” or “Lead Message Tagger.”
  2. From the Inbox tab, click on the trigger: New Message Received
    “Move conversations sent from person, address or number”

This option is highlighted in the middle of your screenshot above.

Step 3: Add the Condition (IF)

Once you select the trigger, define when this automation should run.
For example:

  • If sender’s email contains @clientdomain.com
  • If message subject includes “Support” or “Quote”
  • If sender is not already in your contact list

You can add multiple filters to get very specific.

Step 4: Set the Actions (THEN)

Now choose what you want to happen automatically:

  • Assign a tag (e.g., New Lead, Support Inquiry)
  • Move to a folder like Sales Inbox or Urgent
  • Notify a team member to respond
  • Auto-assign to a person

You can stack multiple actions for more helpful handling.

Step 5: Finalize the Workflow

  • Hit Create Workflow to save it.
  • You’ll be taken back to the dashboard where you can see all your automations.
  • Make sure the status is Active so the workflow begins working instantly.

Example: Organize New Leads

Workflow Name: New Sales Message
Trigger: New Message Received
Condition: Subject contains “pricing”
Action: Assign tag Sales, move to Sales Inbox, notify sales rep
